Off-Road Parts RFQ Templates & Buyer Checklists
Practical field-by-field templates for sourcing existing accessories or coordinating custom parts from drawings. Start with what you know; mark uncertain fitment, engineering and commercial requirements as open questions.
Choose the Correct Starting Document
01 · Existing-Product Sourcing RFQ
Use when you have a product photo, sample, supplier URL or a reference part and want to compare potential manufacturers.
Minimum brief: product description, reference URL or image, required differences, expected quantity, target country and any fitment data.
02 · Custom Manufacturing RFQ
Use for original bracket, fabricated plate, rack structure, machined component or modified assembly.
Minimum brief: authorized drawing or sketch, revision, dimensions, material/finish assumptions, intended loading or installation conditions and target quantity.
03 · Comparable Supplier Quote
Ask each factory to price the same revision, quantity, included components and packaging basis. Separate unit price, sampling, tooling and logistics.
04 · Sample & Revision Review
Compare samples against the current approved drawing, record evidence for each critical measurement, track changes and document the buyer’s approval decision.
Download the Buyer Templates
Use the files to organize a discussion before approaching manufacturers. The spreadsheets are standard CSV files that open in Excel, Numbers or Google Sheets; the checklist is a printable PDF. All fields are blank examples, not completed supplier evaluations.
Download RFQ Template (CSV, Excel-compatible)
Complete the vehicle, material, drawing and order requirement fields.
Download Supplier Comparison (CSV, Excel-compatible)
Compare manufacturing offers on one controlled specification basis.
Download Sample Inspection Checklist (PDF)
Printable one-page sample inspection and packaging review checklist.
No guaranteed fitment, stock, quotation or certification is implied by these templates.
Copyable RFQ — Product & Vehicle Application
Provide only confirmed information. A product description is not a manufacturer’s verified compatibility listing.
| Field | What the buyer should provide | Example / prompt |
|---|---|---|
| Inquiry ID and revision | Unique reference, date and latest file version | BR-001 / Rev A |
| Part family | Bumper bracket, bed rack, skid plate, lighting mount or other component | Bed rack mounting foot |
| Vehicle platform | Make, model, actual model year, generation, trim, body, bed or roof details | Confirm exact vehicle; do not assume fitment |
| Design references | Authorized STEP, DXF, PDF, photos, measured reference sample | Drawing Rev A; key dimensions pending |
| Material and finish | Material grade/temper, surface finish, coating or corrosion expectations | To be quoted with material alternatives |
| Part interfaces | Hole centers, bolt size, fastener class, brackets and clearance constraints | Attach interface photographs or measurements |
| Performance and tests | Actual design loads, use environment and independent verification required | Engineering validation required before any load claim |
| Quantity | Prototype count, pilot quantity, indicative recurring order volume | 1–2 prototypes; production quantity to confirm |
| Packaging and labeling | Kit components, included fasteners, carton protection, country markings | Quote unbranded and private-label alternatives separately |
| Destination and terms | Delivery country, proposed Incoterm, desired shipping scope | United States / delivery terms to agree |
Entries above are illustrative; no factory offer, quoted price, certified test, inventory or customer project is represented.
Supplier Quotation Comparison
Compare identical specifications and quantities, not just the lowest unit price. Record exclusions clearly so differences in sample costs, tooling or quality documentation are not hidden.
| Comparison field | Manufacturer A | Manufacturer B | Buyer action |
|---|---|---|---|
| Drawing revision accepted | Not yet confirmed | Not yet confirmed | Obtain written revision acknowledgment |
| Manufacturing process & material | Open | Open | Confirm equivalent scope |
| Unit cost / currency / quantity break | Await quote | Await quote | Use same quantity and Incoterm |
| MOQ and prototype quantity | Open | Open | Separate sample from production |
| Tooling and fixture ownership | Open | Open | Clarify cost, storage and rights |
| Lead times and milestones | Open | Open | Clarify what triggers each lead time |
| Inspection and documents | Open | Open | Agree inspection scope and evidence |
| Packaging and transport assumptions | Open | Open | Compare packed units, cartons and freight basis |
This sample is not a live supplier comparison. No manufacturers have been evaluated or approached on the basis of these example entries.
Sample Review & Production Decision Record
Measure the agreed interfaces
Record nominal dimensions, permissible variation and measured sample results for critical installation holes, brackets, fasteners, mating surfaces and clearances. Keep photos tied to the sample ID.
Record deviation, not only pass/fail
Give each finding an owner, evidence file, proposed correction, drawing revision and planned resubmission date. A cosmetic finish issue and a structural mismatch should not be treated as equivalent.
Separate decisions
Document prototype acceptance, pilot-run approval, material/finish approval and production release as distinct milestones. State who approves each, including independent engineering review where required.
Carry the record into reorders
Preserve the approved drawing revision, approved master sample identifier, BOM, finish requirements, labeling and change-control log for subsequent production.
For greater depth, see the vehicle fitment data guide, sample inspection checklist and illustrative project documentation.
Questions Before Sending Sensitive Files
If the drawing is proprietary, first describe the part at a high level and confirm permitted file sharing and whether a confidentiality agreement is needed. Avoid providing third-party IP without authorization. Discuss ownership and access to any new tooling, drawings and manufacturing files before purchasing tooling or commissioning development.
Safety-critical components—such as recovery points, suspension links, structural racks or road-use lighting—may require appropriate specialist engineering, testing and market-specific legal assessment. A sourcing quotation alone is not evidence of compliance.
Practical project records
Project Revision, Approval & Order Records
Add these working records to your RFQ and quotation comparison. Fill them with the actual manufacturer responses and your review decisions as the project develops.
Drawing & Sample Approval Record
Record the drawing revision, requested change, manufacturer response, sample identification, approval scope and next action.
Download Approval Record (TXT)Multi-Item Order & Handover Record
Track each item, approved version, quantity, packaging, batch or carton references, required documents and unresolved points.
Download Order & Handover Record (TXT)These editable text templates open without an account or spreadsheet software. They are blank working records; use your actual project information and agree responsibilities with the relevant manufacturer or provider.
